Meeting 1: Questions for DoD

DoD Feedback Integration: Meeting 1

Project: Generative AI-Powered Fractal Analysis for Terrain Adaptation and Predictive Maintenance Contractor: GeoGizmodo LLC

  • Pre-meeting notes date: October 1, 2025

  • Meeting 1 date: October 20, 2025

Purpose: Pre-Meeting Document - Framework for Incorporating DoD Guidance

Questions for DoD (examples)

  • What is the target data classification level for the full dataset?

  • Are there specific compliance frameworks required?

  • Preferred authentication/authorization methods?

  • Restrictions on data storage locations or retention?

  • Can initial development use commercial AWS for unclassified KUIPER dataset?

Scenario 5: System Integration & Deliverables

  • Current: Standalone PoC using single-vehicle data.

  • DoD integration needs may include GCSS-Army, ULLS, or other maintenance systems.

API & Integration Questions for DoD

  • Which systems need integration (GCSS-Army, ULLS, maintenance DBs)?

  • Preferred data formats (JSON, XML, military standards)?

  • Existing API standards or protocols?

  • Authentication methods for system-to-system communication?

Frontend & UX Questions

  • Primary users (maintenance officers, commanders, technicians)?

  • Devices (desktop, tablets, mobile)?

  • UI/UX standards or style guides to follow?

  • Level of technical detail vs simplified dashboards?

Phase I Deliverables (Baseline)

  • Feasibility study report (Weeks 1–3)

  • MVP: Fractal engine, LSTM prototype, GAN terrain generator, AWS integration (Weeks 4–12)

  • Validation and model comparison report (Weeks 13–20)

  • Final Phase I technical report and Phase II roadmap (Weeks 21–24)

Potential Adaptations Based on Feedback

  • Custom API endpoints for specific military systems

  • Mobile-responsive interfaces for field use

  • Integration with DoD identity management

  • Compliance with DoD software development standards

Next Steps (Post-Meeting Action Plan)

Immediate (Within 1 Week)

  • Day 1: Send meeting summary and capture DoD feedback.

  • Day 2–3: Analyze feedback and prioritize changes.

  • Day 4–5: Draft revised project scope document.

  • Day 6–7: Internal review and prepare DoD confirmation call.

  • Week 1 Deliverable: Updated Project Scope Document v2.0 incorporating feedback.

Near-Term (Weeks 2–4)

  • Week 2: Begin adapted development per DoD priorities.

  • Week 3: First progress report (single-vehicle analysis alignment).

  • Week 4: Check-in call to validate direction.

Ongoing (Phase I)

  • Maintain monthly communication.

  • Share interim work products and request feedback at decision points.

  • Adjust course based on learnings and keep DoD informed of risks/issues.

Questions We Hope to Answer (pre/during meeting)

Expand to view the list of questions
  • What are your highest-priority vehicles and components (for a full-fleet implementation)?

  • What data can we access and what are the constraints (beyond the Kuiper et al. demonstration dataset)?

  • What use cases matter most to end users?

  • How should we measure success (for a scalable system)?

  • What infrastructure requirements exist?

  • Who are the key stakeholders we should engage?

Specific Adaptation Scenarios

Scenario 1: Different Vehicle Priority

  • Current: VIN00738 focus.

  • Example DoD input: "MRAP vehicles are our highest priority." Our response summary:

  • Confirm MRAP variants, identify MRAP CBM sources, assess MRAP failure modes, adjust component priorities and validation scenarios. Timeline unchanged but data acquisition may delay validation.

Scenario 2: Limited Data Access

  • Current: Public VIN00738 dataset.

  • Example DoD input: "Full dataset classified/unavailable. You can have 20 vehicles unclassified." Our response summary:

  • Assess options with 20 vehicles (diversity of terrain, ages), request diverse sample, identify supplementary sources, adjust statistical confidence, maintain Phase I demonstration focus.

Scenario 3: Different Use Case Priority

  • Current: Route planning and maintenance scheduling.

  • Example DoD input: "Fleet readiness assessment is the priority." Our response summary:

  • Adjust objectives and evaluation metrics to emphasize fleet-level readiness assessment and commander-facing outputs. (Scope adjustments to be detailed after DoD feedback.)

Scenario 4: Security & Compliance Requirements

Security Image
  • Current: AWS with standard security practices.

  • Example DoD input: "System must meet FedRAMP/FISMA and operate in AWS GovCloud." Our response summary:

  • Confirm target compliance level, assess AWS GovCloud migration, identify data classification and handling needs, review encryption/access/audit trail requirements.
